Responsibilities:Establish and maintain effective relationships with key members of the organization and gain their trust and respectInterface/liaise regularly with other Air Canada Executives, their assistants, their leadership teams and external customersConduct daily calendar management (Outlook) and proactively adjust their schedule based on prioritiesManage and prioritize tasks and emailsOrganize meetings from end to end (planning, agenda, scheduling, and technology)Coordinate travel arrangements, including flight, hotel, meals and car rental reservationsPrepare PowerPoint presentations Coordinate and/or prepare reports and other materials for meetingsComplete expense reportsCreate/maintain contact lists and spreadsheetsMonitor and provide updates on departmental budgetMaintain accurate records & filing of recordsProvide assistance with special projects as requiredProactively follow up with team members to ensure that all deliverables are achieved in real timeAdminister telecommunications for the branch (contact person with the provider and IT, order mobile phones and monitor invoices)Other duties as assigned
QualificationsMinimum of a high-school diplomaFive-years’ experience in a similar position supporting Executive or senior management level positions would be an assetAbility to work well and maintain composure under pressure, meet deadlines and work with minimum supervisionStrong sense of initiative and disposition to innovate to improve processesStrong interpersonal skills: problem solving, customer focused, approachabilityExcellent organizational skills: planning, priority setting and managing through systemsA very high degree of diplomacy, discretion, professional maturity and judgementLooks beyond the obvious and is able to overcome obstacles and challengesExcellent communication skillsExpert knowledge of Windows and all Microsoft Office productsFlexibility and willingness to work extended hours, on occasionSome limited travel may be requiredDemonstrate punctuality and dependability to support overall team success in a fast-paced environment.
